1. Who we are

SketchMind ("we", "us", "our") operates the AI tutoring platform at sketchmind.ai and the school admission alert service SchoolAdmit at sketchmind.ai/admissions. This policy explains how we collect, use, and protect personal information across both products.

2. Information we collect

Account information

When you create an account we collect your email address, name, and an encrypted password. If you sign in with Google, we receive your Google account email and display name.

Usage data

We collect data about how you interact with SketchMind: questions asked, sessions created, features used, and session replay data (whiteboard states). This data is used to improve the product and provide your session history.

Payment information

Billing is handled by Stripe (USD) or Razorpay (INR). We do not store your full card or UPI details. We receive confirmation of successful payment, your plan tier, and session credit balance. We log credit grants and consumption in an append-only ledger for billing support.

SchoolAdmit (admissions alerts)

For the SchoolAdmit service we collect your mobile number and email address to deliver admission alerts. We do not share this information with schools or third-party marketers.

Automatically collected data

We collect standard server logs (IP address, browser type, pages visited, timestamps) and anonymous analytics to understand traffic patterns.

3. How we use your information

  • To provide and operate the SketchMind and SchoolAdmit services
  • To authenticate you and maintain your account
  • To deliver school admission alerts via SMS, WhatsApp, and email
  • To process payments and manage subscriptions
  • To respond to support requests
  • To improve product features and fix bugs using aggregated analytics
  • To send transactional emails (receipts, password resets)

We do not sell your personal data. We do not use your data for advertising profiling.

4. Third-party services

We use the following third-party providers who may process your data:

  • Firebase (Google) — authentication and session management
  • ElevenLabs — text-to-speech voice narration (text content from sessions is sent to ElevenLabs for synthesis)
  • Amazon Web Services (S3, CloudFront) — file storage and content delivery
  • OpenRouter / Google Gemini — AI lesson generation
  • SMS/WhatsApp providers — delivery of SchoolAdmit alerts

Each provider operates under its own privacy policy. We select providers that meet industry-standard data protection requirements.

5. Data retention

We retain your account data for as long as your account is active. Session data (whiteboard states) is retained to provide your lesson history. You may request deletion of your account and associated data at any time by contacting privacy@sketchmind.ai. SchoolAdmit subscriber data is retained for the duration of your subscription and deleted within 30 days of unsubscribing.

6. Your rights

Depending on your jurisdiction you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Object to or restrict processing of your data
  • Port your data to another service

To exercise any of these rights, email privacy@sketchmind.ai. We will respond within 30 days.

7. Cookies

We use session cookies for authentication and a small number of analytics cookies to understand aggregate usage. We do not use third-party advertising cookies.

8. Security

We use HTTPS across all services, encrypt sensitive data at rest, and follow industry-standard access control practices. No system is perfectly secure; in the event of a breach affecting your personal data we will notify you as required by applicable law.

9. Children

SketchMind is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, contact us at privacy@sketchmind.ai and we will delete it promptly.

10. Changes to this policy

We may update this policy from time to time. We will notify you of material changes by email or by posting a notice on the site. Continued use of SketchMind after changes take effect constitutes acceptance of the updated policy.
